We are looking for an experienced Finance Support Specialist to join our team. The Finance Support Specialist plays a critical role in ensuring the smooth operation of financial processes within the organization. This position is responsible for handling billing, managing accounts receivable, and maintaining accurate records for subcontractors. The ideal candidate is detail-oriented, organized, and capable of multitasking in a fast-paced environment.
Finance Support Specialist Job Responsibilities:
- Maintain comprehensive and up-to-date records for all subcontractors, including contracts, payment terms, and compliance documents.
- Process subcontractor invoices and verify accuracy against agreed terms and deliverables.
- Ensure subcontractors meet regulatory requirements, such as tax forms and certifications.
- Act as a point of contact for subcontractors regarding payment and contract-related inquiries.
- Assist with invoice preparation and issuance.
- Ensure invoices comply with company policies and contractual agreements.
- Resolve billing discrepancies by coordinating with internal departments and clients.
- Monitor and follow up on unpaid invoices to minimize outstanding balances.
- Record, reconcile, and post incoming payments accurately to the financial system.
- Track outstanding receivables and prepare aging reports for management review.
- Communicate with clients regarding payment status, disputes, or overdue accounts.
- Assist in developing and implementing strategies to improve collection processes.
Finance Support Specialist Job Requirements:
- Degree in accounting, Finance, Business Administration, or related field preferred.
- Proven experience in billing, AR management, or a related finance role.
- Proficiency with financial software and Microsoft Excel; experience with ERP systems is a plus.
- Strong attention to detail and accuracy in financial record-keeping.
- Excellent communication and interpersonal skills for client and subcontractor interactions.
- Ability to prioritize tasks, meet deadlines, and work independently,
- Understanding of financial compliance and regulations related to subcontractor management.
- Familiarity with reconciliation processes and reporting tools.
- Problem-solving skills to address discrepancies and improve financial workflows.
